Position Title: Program Assistant / Receptionist (Common Services) Classification Level: LE-A2 Contract Type: Indeterminate (Full-time) Starting Annual Gross Salary:  RMB 131,086 (before tax and employee social insurance contributions; employer social insurance contributions are paid on top of the gross salary; salary is non-negotiable) Location: Consulate General of Canada in Shanghai  Closing Date:  June 08, 2024, at 23:59 Beijing time Summary of Duties:   Under the supervision of the Management and Consular Officer (MCO), the incumbent provides administrative services and coordinates office services for the MCO and Common Services Section in the Consulate General of Canada in Shanghai. The main duties of the position include: Provide secretarial and administrative support Provide reception services for the consulate, including operating the switchboard and managing incoming calls Welcome visitors in person and provides general information to visitors Receive and assist in drafting, responding to and filing of correspondence Provides administrative support services to the consular and/or passport program and/or citizenship in the mission. Provide translation and interpretation as required Provide assistance with events and logistics coordination Perform other duties as required. Essential Qualifications: Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience. Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications. *Language will be assessed further during the process.  Education: Bachelor’s degree from a university Language: Working proficiency in English (written and spoken) Working proficiency in Mandarin (written and spoken) Experience: Experience in performing general administrative duties Experience in providing client services Experience in working in a team environment Rated Requirements  The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview online, in-person, role-play, practical tests, and/or presentations. Knowledge: Knowledge of general office procedures and practices Abilities/skills: Ability to write effective business correspondence in English and Chinese Ability to perform translation and interpretation from Chinese to English and vice versa Competencies: Adaptability and Flexibility Client Focus Effective Interactive Communication Focus on Quality and Details Judgment Teamwork and Cooperation Asset Qualifications:  Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.  Working ability in French Previous experience as a receptionist or administrative assistant in an office environment Experience working in a diplomatic mission or an international organization Operational Requirement:  Ability and willingness to work overtime as required, sometimes on short notice  Conditions of Employment  Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
